Privacy & Data Protection Services

Your data. Your privacy. Your control.

At RedLibrary, we help individuals, families, sole traders, and organisations protect personal information, reduce unnecessary public exposure, and manage data protection responsibilities.

Our services combine practical privacy measures, monitored public contact addresses, organisational data protection support, and independent Data Protection Officer services.

We begin with a free assessment to understand what needs protecting, what information is exposed, and what support would be proportionate to your circumstances.

Personal Privacy Services

Personal privacy involves understanding what information is available about you, how it is used, and where practical changes can reduce unnecessary exposure.

• Public Exposure Reviews: identifying personal information visible through websites, public profiles, directories, and other agreed sources.

• Account and Privacy Settings: reviewing sharing settings, permissions, recovery options, and account security.

• Contact Separation: helping separate personal contact details from public-facing, professional, or online activities.

• Privacy-Focused Configuration: practical assistance with browsers, devices, applications, and selected online services.

• Information Rights Support: assistance preparing access, correction, objection, or erasure requests where applicable, and organising the resulting correspondence.

• Ongoing Privacy Support: agreed reviews and assistance as your accounts, activities, or circumstances change.

Requests to remove information are assessed according to the circumstances. Removal depends on the applicable rights, the source of the information, and any lawful reasons for retaining or publishing it.

Professional Privacy Services

Public-facing work can expose personal email addresses and other contact details unnecessarily. We help sole traders, professionals, businesses, and organisations maintain appropriate public contact routes while reducing direct exposure.

• Public Contact Addresses: dedicated email contact routes for websites, directories, professional activities, and other agreed uses.

• Abuse and Security Contact Addresses: monitored routes for reports concerning hosted services, domains, infrastructure, or suspected misuse.

• Privacy and Data Protection Contact Addresses: monitored routes for privacy enquiries, information rights requests, and data protection correspondence.

• Domain and Infrastructure Contact Reviews: reviewing contact details exposed through hosting arrangements, domain registration, public records, and related service configurations.

• Correspondence Handling: forwarding, manual assessment, and escalation of incoming messages within the agreed service scope.

Contact arrangements preserve necessary accessibility and transparency. Where information must be published or supplied for legal or contractual reasons, the service is configured around those requirements.

Monitored Contact & Escalation

For monitored contact-address services, all incoming emails received by the service are forwarded and manually assessed within eight hours of receipt. This commitment applies around the clock, including overnight, weekends, and bank holidays.

Manual assessment considers the nature of the message, apparent urgency, and the agreed escalation arrangements. Direct emergency contact is available for urgent matters.

The eight-hour commitment covers forwarding and initial manual assessment. Any investigation, substantive response, or corrective work is handled according to the agreed service and the requirements of the matter.

Before activation, we agree the monitored addresses, forwarding destinations, authorised contacts, escalation routes, and responsibilities for responding.

Data Protection Support for Organisations

We help organisations turn data protection responsibilities into practical processes that can be understood, maintained, and evidenced.

• Data Protection Reviews: assessing existing arrangements, identifying gaps, and prioritising practical improvements.

• Data Mapping and Processing Records: documenting what personal information is handled, why it is used, where it moves, who receives it, and how long it is retained.

• Policies and Privacy Information: preparing or reviewing privacy notices, retention arrangements, internal procedures, and supporting documentation.

• Supplier and Processor Arrangements: reviewing data protection responsibilities, processing arrangements, and the information needed for supplier due diligence.

• Individual Rights Requests: helping organise, assess, track, and prepare responses to requests concerning personal information.

• Data Protection Impact Assessments: support identifying risks, documenting proposed processing, and considering appropriate safeguards.

• Incident and Breach Support: assistance gathering facts, assessing data protection implications, recording decisions, and preparing appropriate communications.

• Retention and Disposal: practical procedures for keeping information only as needed and arranging appropriate deletion or destruction.

Support is scoped to the organisation, the processing involved, and the evidence available. Technical investigation and broader operational reviews can be arranged through our Data Security & Governance services.

Independent DPO Services

Our independent Data Protection Officer services provide an external DPO appointment through an agreed service contract, with support structured around the organisation and its processing activities.

The role includes:

• Informing and advising on data protection obligations

• Monitoring compliance arrangements, responsibilities, policies, and awareness activities

• Advising on Data Protection Impact Assessments and monitoring their performance

• Acting as a contact point for individuals and the relevant supervisory authority

• Reporting findings, concerns, and recommendations to the appropriate level of management

Before appointment, we assess the required expertise, workload, access, resources, independence, and potential conflicts of interest. The organisation retains responsibility for its processing decisions and for implementing appropriate measures.

A monitored DPO contact address can be provided as part of the appointment. Contact-address handling alone is a separate service and does not constitute a DPO appointment.

Organisations that need practical support without a formal DPO appointment can use our scoped advisory or ongoing support services.

Training & Awareness

The Digital Safety Licence provides a shared foundation in digital safety and an understanding of organisations’ data protection obligations.

The Digital Safety Licence+ builds on that foundation for managers, stakeholders, directors, and sole traders, with deeper exploration of legal requirements and organisational responsibilities.

Training can be arranged alongside privacy or data protection support to help people understand the procedures they are expected to follow and recognise when to seek assistance.

Confidentiality & Working Arrangements

Engagements begin with an agreed scope, authorised contacts, and defined access requirements. We request only the information necessary for the work and agree how documents, correspondence, and other evidence will be shared and handled.

Confidentiality arrangements and data processing terms are established where applicable. Ongoing services include agreed responsibilities, reporting arrangements, and escalation routes.

Suitable services are delivered remotely across the UK, with in-person support available across North Lincolnshire. Requirements involving EU operations or other jurisdictions are assessed before engagement.

Our service provides practical data protection advice and operational support. Where a matter requires specialist legal representation or advice outside the agreed scope, that requirement is identified.
